The Segeberg district, part of the Hamburg metropolitan region, is conveniently located in the heart of Schleswig-Holstein between the North Sea and the Baltic Sea and is a reliable employer for approximately 1,100 employees.
The “General Services” department is responsible for all employees of the district administration and provides numerous internal services. It coordinates and manages, among other things, the following areas in all district-owned and leased administrative buildings and spaces: information services, the switchboard, the mailroom, the virtual mailroom, the mail delivery service, print job processing, fleet management, procurement management, and event management.

Your responsibilities:

Operational Event Management, e.g.,
Planning, organizing, and coordinating event and space management for the district administration (including the administration, maintenance, and scheduling of all meeting and event rooms, as well as resolving scheduling conflicts and date conflicts)
Providing support and advice to users regarding room and event bookings, as well as handling inquiries, feedback, and complaints related to room and event bookings
Preparing analyses, statistics, and overviews on room and event usage
Organizing and ensuring the necessary event equipment (e.g., seating, tables, flip charts, facilitation materials, presentation and media technology), as well as coordinating and liaising with internal stakeholders (particularly IT, custodial, and logistics services)
IT coordination of the booking system (currently Flexopus), e.g.,
Providing support and advice to users
Handling and resolving application-related questions and trouble tickets
Maintaining and updating master data, as well as managing user permissions and roles
Supporting updates, testing, and further development
Assisting with the optimization of work processes and the identification of opportunities for digitization
Conducting training sessions and orientations for users

Your Profile:

Completion of an apprenticeship as an administrative assistant or successful completion of Employee Training Course I, or
Completion of an apprenticeship as an office management clerk, hotel management clerk, event management clerk, or a comparable program with a focus on organizational skills
Familiarity with various IT systems
Willingness to work into the late afternoon hours in exceptional cases
Proficient knowledge of German (at least C1 level according to the Common European Framework of Reference for Languages)
And, ideally, in addition
Knowledge of public procurement law, budgetary law, and administrative law
Practical experience with room reservation systems
Initiative, as well as strong planning and organizational skills
Customer- and citizen-oriented approach, strong communication skills, and flexibility
A Class B or 3 driver’s license and a willingness to use your own car in exchange for reimbursement of expenses
